The Society for Neuroscience (SfN) is searching for an Operations & Volunteer Engagement Assistant to support the Executive Director, Chief of Staff, and Operations & Volunteer Engagement department by managing calendars, coordinating travel, and providing general support for projects, functions, and programs needed. This role is ideal for a recent college graduate that has up to one year of administrative experience (experience gained through internships and work study is acceptable) and who would like to gain exposure and build their career in a nonprofit and be a part of a fast paced and dynamic team.

ESSENTIAL JOB FUNCTIONS include the following. Other duties may be assigned.

  • Manages calendar and performs general administrative duties and logistics for the Executive Director on a daily basis.
  • Coordinates monthly Executive Committee calls and 1:1 conference calls between Executive Director and SfN President.
  • Coordinates logistics for donation of materials to SfN's archive.
  • Schedules conference calls, regular meetings, and appointments for the Executive Director and Operations & Volunteer Engagement department.
  • Coordinates logistics with Admin Team for All Staff gatherings.
  • Organizes and maintains files and records for the Executive Director and Operations & Volunteer Engagement department.
  • Assists with projects related to volunteer operations, meeting planning, communications, invitation lists, and other special projects.
  • Assists in meetings with note-taking and meeting minutes or summary preparation as needed.
  • Assists with planning and logistics for departmental functions at the annual meeting.
  • Assists with the dissemination of invitations for the Presidential Reception and Awards Reception at the annual meeting, responding to inquires as needed.
  • Assists in preparing annual meeting itineraries and meeting materials for the Executive Director, Officers, and Councilors.
  • Maintain Standard Operating Procedures and identify opportunities for efficiency.
  • Provides direct staff support to the Executive Director on-site at the annual meeting.
  • Other duties may be assigned.

MINIMUM REQUIREMENTS:

Education and Experience:

  • Bachelor's degree required.
  • 1 year of professional experience, including internships (i.e., office, support level work, etc.).

Preferred Qualifications:

  • Interest in non-profit management and operations.
  • Prior experience interacting or working with executive level or senior management.
  • Strong organizational and critical thinking skills.
  • Very detailed oriented.
  • Thoughtful and diligent approach to completing tasks.
  • Intuitive learner and proactive problem-solver.
  • Interpersonal skills with demonstrated poise, conscientiousness, and diplomacy that lead to effective working relationships.
  • Ability to manage multiple tasks with various deadlines.
  • Ability to be discrete and confidential regarding work issues is essential.
  • Comfortable working in a fast-paced setting and ability to be flexible in shifting focus as priorities change.
  • Must be a team player, energetic, and self-motivated.
