The Society for Neuroscience (SfN) is searching for a Meeting Services Assistant that will provide administrative and logistical support to the Meeting Operations Department. This department oversees the operations and logistics of SfN's annual meeting, which has 30,000+ attendees. This role is ideal for a candidate who is passionate about event planning from the ground up and who wants to use their attention to detail, their customer service, and organizational skills for one of the largest medical conferences.

ESSENTIAL JOB FUNCTIONS include the following. Other duties may be assigned.

  • Composes correspondence answering annual meeting inquiries from the Meetings alias.
  • Prepares the telephone and communication (direct connect) orders for annual meeting.
  • Assists in preparing and distributing of meeting resumes for annual meeting.
  • Prepares invitation letters for international attendees.
  • Prepares and updates annual meeting staff kits to include updating documents, assembling room checker packets, etc.
  • Prepares and proofs the annual meeting show card orders.
  • Orders and coordinates office equipment and delivery for annual meeting.
  • Oversees the on-site coordination of annual meeting headquarters/logistics office.
  • Assists with annual meeting housing (forms, VIP reservations, shuttle rebates, etc.)
  • Coordinates ground transportation for SfN president during the annual meeting.
  • Assists with development of budget and department goals.
  • Reconciles invoices and processes ORs and payments.
  • Updates and proofs annual meeting information for print and web publications.
  • Cross-trains with department co-workers and assists in other areas when needed.

 

MINIMUM REQUIREMENTS:

 Education and Experience:

  • Bachelor's degree required.
  • One year of administrative experience in association/meeting planning field preferred.
  • Proficiency in using MS Word, intermediate Excel skills, strong Internet experience, and the demonstrated ability to learn new software quickly.

 

Preferred Qualifications:

  • Strong written and verbal communication skills with an attention to detail
  • Ability to handle multiple projects in a timely manner.
  • Ability to interact effectively with members, staff, meeting attendees and meeting industry personnel.
