The Society for Neuroscience (SfN) is searching for a Governance Assistant that will provide executive support by managing calendars, coordinating travel and other organization support as needed. The Assistant will provide staff support for the Operations & Development department and carry out all departmental administrative duties. This role is ideal for a candidate who wants to join a collaborative and dynamic team of talented professionals who are passionate about their field and SfN' s mission to advance the understanding of the brain and nervous system.

ESSENTIAL JOB FUNCTIONS include the following. Other duties may be assigned.

  • Manages executive calendars and performs general administrative tasks for the executives on a daily basis.
  • Coordinates and schedules conference calls, meetings, and appointments.
  • Manages executive contacts and coordinates mailings sent on behalf of the Executive Director and Chief of Staff.
  • Support all aspects of executives' travel, including creation/submission of Business Leave Authorization form, booking travel and hotels, creating travel itineraries, and processing expense reports.
  • Organizes and maintains files and records for the Executive Director, Chief of Staff and O&D Department on an ongoing basis.
  • Maintains volunteer records in database, ensuring that all records are accurate and up-to-date.      
  • Perform general administrative duties, such as filing, copying, mailings, creating invitation lists, purchase requests, placing supply orders, and database entry, as assigned.
  • Assists with projects related to Council meetings, Committee on Committees meetings, and other committee meetings and special events as needed.
  • Assist with planning and logistics for various meetings and events prior to and during the annual meeting, such as the dissemination of invitations to the Presidential Reception and Awards Reception at the annual meeting, responding to inquiries as needed.
  • Prepares annual meeting itineraries and meeting materials for the Executive Director, Chief of Staff, and President.
  • Provides direct staff support to the Executive Director on-site at the annual meeting.
  • Assists the Governance Manager with administration of the awards process including advertising, staffing the selection committees, and handling appropriate correspondence with the award recipients in preparation for award presentations.


 Education and Experience:

  • Bachelor's degree required.
  • 1 year of administrative experience required.
  • Proficiency in using MS Word and the ability to learn new software quickly.


 Preferred Qualifications:

  • Strong administrative skills.
  • Must be a team player, highly organized, detail oriented, energetic, and self-motivated.
  • Must have the ability to multi-task and set priorities in a flexible manner to address changing needs.
  • Ability to be discrete and confidential regarding work issues is essential.
  • Prior experience working with executive level or senior management.
