The Society for Neuroscience (SfN) is searching for a Meeting Programs Associate that will provide administrative and programmatic support for the annual meeting. In addition, the Associate will support the continuing medical education program and accreditation process for the Programs group of the Meeting Programs & Attendee Services department. This role is ideal for a candidate who is passionate about event planning and who wants to use their attention to detail, their customer service, and organizational skills for one of the largest medical conferences.

ESSENTIAL JOB FUNCTIONS include the following. Other duties may be assigned.

  • Supports the preparation and sessioning of abstracts for the annual meeting.
  • Coordinates preparation and testing of Neuroscience Meeting Planner.
  • Provides customer service and assistance to members, abstract submitters, and meeting attendees.
  • Assists in the organization of lectures and basic-translational-clinical roundtables. . Serves as point person for communications with presenters related to preparation of their annual meeting presentations and coordination of their travel and reimbursement.
  • Leads intradepartmental collection of recording agreements for presenters in all recorded annual meeting events.
  • Coordinates with Meetings Assistant to complete updates for AM program and Continuing Medical Education (CME) web pages.
  • Edits and proofreads annual meeting publications.
  • Produces various program-related reports and queries as needed.
  • Provides assistance with the continued development and maintenance of the abstract management software.
  • Assists with the processing of CME credits and the administration of the CME Program to ensure that ACCME requirements are met.
  • Assists with the coordination of Program Committee meetings and prepares materials/documents for committee review.
  • Assists with staffing of Program Committee working groups and CME Subcommittee.
  • Staffs the Programming Office and committee meetings at SfN's annual meeting, as assigned.
  • Coordinates onsite annual meeting staffing of scientific program session rooms.
  • Coordinates web forum for collecting proposed participant information in conjunction with Meetings Assistant.


 Education and Experience:

  • Bachelor's degree required.
  • 1-2 year(s) of administrative experience in association/meeting planning field preferred.
  • Proficiency in using MS Word, intermediate Excel skills, strong Internet experience, and the demonstrated ability to learn new software quickly.
  • Experience with CME accreditation is a plus.

  • Strong attention to detail and organizational skills.
